Bid Expiration Overview

Overview of the Bid Expiration feature and configuration options within the BidClips platform

Perhaps you are worried about rising material, product, or labor costs and want to honor your quotes for a specific number of days. Maybe you want to run a special offer that expires on a certain date. The BidClips Bid Expiration feature will help you achieve these business objectives.

The Bid Expiration feature can be configured within the BidClips platform at different levels to provide flexibility when trying to achieve your objectives. The configuration settings adhere to a hierarchy to grant you the desired flexibility.

This article explains where Bid Expiration settings can be configured and how those settings will behave within the platform.

NOTE:  When utilizing the Bid Expiration feature in BidClips, bids will expire at 11:59pm (shop local time) on the days/date specified.

Bid Expiration Configuration Settings & Hierarchy

You have to option to set the bid expiration at four different levels, in the following hierarchical order:

  • Shop
  • Shop Service
  • Bid Template
  • Within a Bid at runtime

Shop Configuration of Bid Expiration

Configuring a Bid Expiration setting at the shop level will apply a global expiration for all quotes in the system. At the shop level you are able to configure:

  • Never (default value)
  • Expire Bid in Days

In this example, we will show a global shop setting to expire in 30 days. With this global setting all of your bids will expire in 30 days unless overridden at the shop service, bid template, or bid at run time.

Shop Service Configuration of Bid Expiration

You can override the global shop settings and apply an expiration for all quotes related to a specific service. At the shop service level you must elect to override the global shop setting and can specify:

  • Never
  • Expire Bid in Days

In this example, we will show an override to have bids for a specific service offering to expire in 20 days. With this shop service setting all of your bids, for this specific offering, will expire in 20 days unless overridden at the bid template or bid at run time.

Bid Template Configuration of Bid Expiration

You can override the global shop settings or specific shop service settings. At the bid template level you must elect to override the global shop setting and can specify:

  • Never
  • Expire Bid in Days
  • Expire Bid on Date

In this example, we will show an override to have bids created with a specific bid template to expire on December 1, 2024. With this bid template setting all of your bids, created with this bid template, will expire at 11:59pm (shop time) on December 1st unless overridden in the bid at run time.

Bid Expiration at Bid Runtime

At bid runtime, your bid will inherit the applicable setting based on the hierarchy described above when created. However, you can elect to alter the inherited expiration setting for this individual quote at runtime and can specify:

  • Never
  • Expire Bid in Days
  • Expire Bid on Date

In this example, we show an explicit decision to expire this particular bid on December 31st, 2024.

Bid Expiration Appearance in Widget

The bid expiration date will be displayed to the customer below the bid message section within the BidClips widget.

NOTE:  If the bid was configured to never expire, no mention of a bid expiration will be shown in the widget.
