Recurring Payment Functionality Overview

This article gives you a high-level overview of how Recurring Payment Rules work in the BidClips platform. You'll learn where to configure them, what options are available, how they can end, how to monitor them, and how both you and your customers are notified throughout the lifecycle of a recurring payment plan.

Where You Configure Recurring Payment Rules

You can set up Recurring Payment Rules directly from the Job Detail page in your BidClips provider portal.

Prerequisites

Before you can configure a Recurring Payment Rule, make sure the following requirements are met:

  • Payment processing is enabled for the shop to which the job belongs.

  • At least one credit card is saved for the customer associated with the job.

Tip:  If you do not have a saved card for a customer and want to create a Recurring Payment Rule, you can create a $1 transaction to save the card to satisfy the saved card prerequisite. That small transaction could subsequently refunded if you choose.

Recurring Payment Rule Frequency Options

You have multiple frequency options to tailor recurring payments based on your needs:

1. Daily

Set a rule to process a payment every X number of days.
Example: Every 10 days.

2. Weekly

Set a rule to process a payment every X number of weeks on a specific day.
Example: Every 3 weeks on Friday.

3. Monthly On Day

Set a rule to process a payment on a specific day of the month every X number of months.
Example: Last day of the month, every 3 months.

4. Monthly

Set a rule to process a payment based on the week of the month on a given day, every X number of months.
Example: Third Friday of every 2 months.

5. Yearly

Set a rule to process a payment annually on a specific month and day.
Example: April 15th every year.

Ending Options for Each Frequency Type

Each frequency option supports one of three ending conditions:

  • None: No end date; the rule continues indefinitely.

  • By: Ends after a specified date.

  • After: Ends after a set number of occurrences.

How Recurring Payment Rules Can Be Stopped

Automatically

A recurring payment rule will stop automatically if:

  • Payment processing is turned off in your provider portal.

  • You switch your payment processing vendor.

  • The job’s primary contact is changed.

  • A payment attempt fails for the configured recurring rule.

Manually

You can manually stop a recurring payment rule from the Job Detail page by applying a Reason To Stop tag.

Viewing Recurring Payment Rules

You can view all your active and inactive recurring payment rules from the Shop Configuration settings in the provider portal.

By default, the view displays all active rules, with a toggle switch available at the top of the page to include inactive rules.

Customer Communications

BidClips includes out-of-the-box email and SMS notifications for your customers. Notifications are subject to customer opt-in preferences and can be configured to send within specific time windows.

Customers will receive communications when:

  • A new recurring payment rule is created.

  • A recurring payment is processed successfully.

  • A recurring payment fails.

  • A recurring payment rule is manually stopped.

  • A recurring payment plan completes (e.g., after 6 payments).

  • A 24-hour reminder is due for an upcoming payment.

Tasks & Notifications

BidClips also includes default tasks and email notifications for you and your team when:

  • A recurring rule is created.

  • A recurring payment is processed successfully.

  • A recurring payment fails.

  • A recurring payment rule is manually stopped.

  • A recurring payment plan completes.

  • A 24-hour reminder is due for an upcoming payment.

Each task is assigned to the primary user in your platform by default and will generate an email notification to that assignee.
